SOP - Time-based Items

Purpose: The purpose of this SOP is to guide the user through creating and using time-based items on their Tonic POS system.  


Context:

Time-based items like pool tables are used by merchants to control the time and amount of money a certain item will bear. Time-based items can be set up anyway the user sees fit. For example: $5 per hour, $5 per hour/per person, and $15 unlimited use. Time-based items can also be scheduled just as any other menu item. This is useful for users that want to promo the item for a reduced priced at a particular time. For example: Monday - Friday 2pm-5pm $2.50 per hour.

Follow the steps below to create a time-based item. 

  1. Tonic back office. 

    1. Setup

      1. Store > Settings > View > Check the Pro-rate Time Based Items box in the Items category

      2. Store > Settings > Other > Check the Time Based Items box in the Misc category

    2. Menu > Sales Group > Create a Sales Group: Pool Table 

    3. Menu > Menus > Create and name a menu Pool Table

      1. In the Pool Table Menu > Create a menu item (i.e., Pool Table $5 per hour, Pool Table $10 per hour, etc.,)

      2. Include the price associated with the timed item 

      3. In the Pool Table Menu, choose Items > In the Time Interval column to the right, choose the desired time the user wants to charge for, 60 min for hourly based, for example. 

      4. Choose Save All at the bottom of the screen

    4. Areas

      1. Create an area names Pool Room

      2. Use the 8 Ball icon to auto-populate a pool table on the Pool Room area. 

        1. Save and exit

  2. FOH Terminal

    1. Open the the Pool Room area > Choose the Pool Table > Choose how many people (seats) > Find the Pool Table menu option > Ring in the appropriate setting ($5 per hour) > Choose Send 

      1. The system will begin calculating the time based on the settings in the time interval and price of the item

    2. To close the check: Choose the Pool Table > Highlight the item on the check > Choose Finalize on the right side 

      1. This will calculate the accurate time-based amount 

        1. For $5 per hour, the check will total $2.50 if the check is closed after 30 minutes. Or $7.50 if the check is closed after 1.5 hours.
