Within the Ordyx system, support can set up a store with a virtual safe that the merchant can use to track what goes in and what goes out of the safe in terms of cash drawer cash in’s/out’s and user tip pay outs.
The three options a store can choose to track what comes in and goes out of the safe are as follows:
Cash in the cash drawers through the safe
In this method, whenever a user cashes in a cash drawer, the amount of money going in the drawer is debited from the safe.
Cash out cash drawers through the safe
In this method, whenever a user cashes out a cash drawer, the amount of money which is counted gets credited to the safe.
Cash out users through the safe
With this method enabled, a store can define whether user cash outs are debited or credited to the safe or from the cash drawer. The safe will keep a running tally of the amount and will not require a user to empty it at closing. They can either keep this amount in the safe to start
the next business day or empty it out to start on a clean slate. Be sure to mention this to the customer so when they view the amounts they know what they are looking at. Notice the Safe name at the top and the options at the bottom.
Setting a store up with the safe is a simple process and requires a technician to clarify with the customer how they would like cash to be handled with the safe in place. The first thing to ask is the above setup.
1. Would you like cash drawer cash in’s to come from the safe?
2. Would you like cash drawer cash out’s to go into the safe?
3. Would you like user cash out’s to come from the safe or from the drawer?
Once those questions are answered, inform the development team and they will configure the safe settings on the back end. Have the development team create a safe for that store. For the manager role, please associate the following permissions...
• FOH SAFE ACCESS
• FOH SAFE VIEW
Once the permissions have been associated to the manager role and the safe has been created. Walk the user through the safe functionality below:
1. Log into the Ordyx software.
2. Click on Cash Management.
3. Click on the 'Safes' button.
4. Explain all of the safes functionality to the customer.
Notice the Safe name at the top and the options at the bottom.
• Credit: This option allows a user to add money to the safe
• Debit: This option allows a user to remove money from the safe
• Empty – This option allows a user to empty the safe and get the amount back to zero. A user will be prompted with the following dialogue box when emptying the Safe. After clicking “Yes” the Safe will revert back to a $0.00 amount.
• View – This option allows a user to view the cash amounts in the drawer and the breakdown of the drawer. Below is an example of the safe view report:
After clicking “Yes” the Safe will revert back to a $0.00 amount.
With both the Credit and Debit options, the Safe will request that the user report the denominations as this is how the safe tracks its amount. Users will be prompted with the screen below when debiting or crediting the safe:
